Golden Roads Tour Terms

a) In-Vehicle Payment and Vehicle Departure Information

For prepaid bookings, the remaining balance can only be paid in cash within the vehicle. Please be ready at your departure location 15 minutes before the scheduled time. You can find the details of your departure location on our website under the "ADDITIONAL INFORMATION" section for the relevant tour, as well as in the description part of our social media posts related to your tour. One day before the tour, between 19:00 and 22:00, your guide will contact you or you will be notified via SMS by our system. Otherwise, please contact our WhatsApp helpdesk at 0538 093 72 94. You can follow our social media accounts to take advantage of our tour options and campaigns.


b) CANCELLATION, REFUND, AND DATE CHANGE

For tours with accommodation, you can request CANCELLATION, REFUND, or DATE CHANGE up to 7 days before the tour. For day tours, you can request these up to 3 days before the tour. If you choose not to participate in extra activity reservations made during the tour, no cancellation or refund will be provided. However, (For tours purchased with discounts during campaigns, Early Booking tours, Holiday tours, and Other Special Tours, there is no cancellation, refund, or date change allowed.) If you exceed this time frame, your payment will automatically be forfeited. In cases where cancellations are made due to our fault, a full refund will be provided without any conditions.


c) IMPORTANT INFORMATION

During the tour, no seat numbers are guaranteed. Please do not insist on this.

Our vehicles depart from the designated points at the specified times for each tour. Please be at the departure point at least 5 minutes before the scheduled departure time. Our vehicles depart at the scheduled time. Guests who are late and miss the tour will have no right to claim compensation.

For International Tours: In cases where children under 18 (who are not considered legally adults) are not accompanied by one or both parents, the necessary consent forms must be carried by the child during the trip. For example, Black Sea & Batumi Tour.

Our tour package includes guidance, transportation, accommodation, and local tours, and cannot be considered separately. Unused services such as transportation, accommodation, and local tours cannot be refunded. If sufficient participation is not reached, the tour may be postponed to a different date or canceled. In such cases, we are obliged to notify our guests at least 1 (one) day in advance. The minimum number of participants is 25.

Goldenroadstour.com is not responsible for any places that could not be visited during the tour due to force majeure (weather, road conditions, congestion at visited sites, etc.) or guests not following the timings set by the tour guide.

If the agency does not reach the minimum number of participants, they may send guests to another agency offering the same or similar tour programs to prevent cancellation. This way, the guest's holiday plans will not be disrupted. Return times for tours may vary depending on traffic conditions, and a fixed return time is not provided.

For infants and children aged 0-3, no charges are applied as long as they do not require a seat or bed. Foreign nationals (non-Turkish citizens) will not be required to pay any additional fees for this tour. The museum card application is exclusive to Turkish citizens, and therefore, museum cards will not be provided.

The latest published circular invalidates the previous one. The company reserves the right to cancel or modify extra tours based on suitable conditions.

Participation in extra tours is not mandatory. Guests who choose not to participate will be given free time at a designated location by our company. Once luggage is handed over to the bus, it must remain closed until we reach the hotel. Please keep any necessary medications and clothing with you.


d) IMPORTANT CONSIDERATIONS FOR INTERNATIONAL TOURS

Participants must have a valid Multi-entry Schengen visa for the entire duration of the tour (Green Passport holders are exempt from the visa requirement).

To make purchases and expenses during the tour, it is sufficient to carry Euros. The guide will assist in exchanging local currency if needed.

For our tours, seating arrangements are made daily, and seat changes may occur. Fixed seats or front seats are not guaranteed.

Seat changes are arranged by the vehicle guide. At border crossings during the tour, waiting times at customs checkpoints may exceed standard limits. Golden Roads Tour is not responsible for any inconveniences arising from these waiting times. Extra tours are organized with a minimum of 20 participants.

If the minimum number of participants is not met, tours cannot be held, or the prices, content, or vehicle type of extra tours may change. Additionally, the days and times of the tours may be adjusted by the guide depending on the opening/closing status of museums and archaeological sites or weather conditions.

Participation in extra tours is not mandatory but may be subject to request.

Passengers who do not wish to join extra tours will be considered to have agreed to wait at a rest stop along the route. These passengers will be dropped off at a roadside rest stop at the beginning of the extra tour and will be picked up from there after the tour ends.


e) RESERVATION DETAILS

After making your reservation, a Tour Registration Confirmation will be sent to the email address you provided.

Once you receive the tour registration confirmation, you can participate in the tour. If you do not receive a confirmation email, you cannot join the tour.

It is mandatory to provide contact information for the person who made the reservation.

If this information is not provided or is incomplete, Golden Roads Tour is not responsible for any potential issues that may arise.

By making a reservation, you give your consent for photos and videos taken during the tour and onboard the vehicle to be used on our social media accounts.

f) SERVICE AGREEMENT

I - PAYMENTS

At the time of booking, a minimum of 50% of the reservation fee must be paid, with the remaining balance to be paid no later than 21 days before the start of the trip. If the payments are not made within the specified timeframes, the reservation will be canceled. In this case, 35% of the total tour price will be invoiced to the consumer as a cancellation fee. Golden Roads Tour agrees and undertakes not to share credit card information with any third parties under any circumstances.


g) II - CANCELLATION – WITHDRAWAL – CHANGES

Note: For programs with flights, since the airline cannot cancel the reservation, cancellations and refunds are not possible.

a) The travel agency may cancel the trip up to 3 days before the departure date if the required number of confirmed bookings is not met or due to force majeure circumstances. In such a case, the consumer has no right to compensation.

b) If the consumer requests cancellation or change up to 30 days before the trip, the full amount of the payment will be refunded. However, if the cancellation or change request is made 29-21 days before the trip, the consumer agrees and undertakes to pay 35% of the tour price to Golden Roads Tour. If the cancellation or change request is made within 20 days or less, the consumer agrees and undertakes to pay the entire amount of the tour price to Golden Roads Tour.

c) If the consumer wishes to cancel a product purchased during a discount sales period (Early Reservation Discounted Product), they agree to pay the full tour price to Golden Roads Tour, regardless of the reason.

d) Guests who have purchased Early Reservation Insurance can cancel uninterrupted hotel reservations up to 72 hours before the entry date. Insurance is non-refundable, and premiums are not refunded. Exceptions include situations such as war, insurgency, rebellion, terrorist events, epidemics, natural disasters, earthquakes, floods, volcanic eruptions, and landslides.

e) For guests who did not purchase Early Reservation Insurance, the cancellation-withdrawal-change terms in Article (c) will apply.

f) If the consumer wishes to change the date of their Early Reservation Discounted Product during a discount sales period, they agree to change the reservation at the full list price without any discount.

3) If the consumer does not inform the travel agency in writing that they will join the tour after missing the start, the travel agency has the right to cancel all bookings made on behalf of the consumer 24 hours later. No refund will be made in such cancellations.

4) Force Majeure: Adverse weather conditions, roadblocks, strikes, terrorism, war, the threat of war, unforeseen technical issues, and situations that prevent the trip from starting or continuing are considered force majeure. The illness or death of the traveler or a first-degree relative preventing their regular work for 10 days is also considered a force majeure.

5) The travel agency has the right to partially or fully cancel tours that have been announced or booked up to 7 days before the trip. Within the same period, the agency can change the hotel names, transportation means, and the visiting order of the places listed in the program. If the consumer does not accept these changes or cancellations, they can cancel their reservation and receive a full refund. In this case, the consumer does not have the right to claim compensation.


h) III- GENERAL TERMS

  1. Consumers participating in the tour have the right to carry up to 2 suitcases, each no larger than 50 cm x 70 cm, or 15 kg of luggage on flights. The responsibility for the suitcases and their contents lies entirely with the owner.

  2. Items that are smelly, leaking, flammable, explosive, or cause discomfort, as well as sharp objects, firearms, and any type of animals, are not allowed on vehicles or accommodation facilities without explicit written permission from the Travel Agency. Possession of identification or registration does not change this condition.

  3. In case of loss or damage to the consumer’s luggage or belongings, the Travel Agency is only liable for items lost or damaged due to its gross negligence. In such cases, the consumer will be compensated for the lost or damaged luggage and its contents based on the amount allocated for transportation costs, which will be half of the total travel cost. The Travel Agency is only responsible for items declared and delivered to it in writing by the consumer, up to the transportation cost of the trip.

  4. Visa procedures are not included in the purchased service. The Travel Agency has no obligation to obtain a visa.

  5. If the Travel Agency needs to cancel a tour, notifications may be made individually to each consumer, or in the case of large-scale cancellations, announcements may be made in the Turkish editions of two widely circulated newspapers.

  6. The Travel Agency is responsible for any changes to the program after the tour starts. If the changes result in damages or disadvantages to the consumer, the Travel Agency may offer compensation in the form of a refund or replacement services as per the TÜRSAB (Association of Turkish Travel Agencies) Regulations. If the consumer accepts substitute or additional services, it will waive the right to a refund or compensation.

  7. If the consumer abandons the tour citing defective services, they must inform the Travel Agency’s representative and the hotel in writing, explaining the reasons. If the consumer fails to do so, they will be considered to have participated fully in the tour and used the services.

  8. If the consumer continues the tour despite complaints, this will waive any right to compensation, including refund claims related to the issues raised.

  9. The terms and conditions of this contract are deemed accepted by the consumer, who confirms that they have read and accepted these terms for themselves and any other individuals they have registered for the same tour.

  10. Consumers who have not signed the contract but are participating in the tour are considered to have accepted these terms and conditions. Even if they have not signed, they are deemed to have agreed to participate under these conditions based on the catalog and advertisements.

  11. The Travel Agency acts as an intermediary between the consumers and third-party service providers such as hotels, transport companies, and other service providers. Therefore, the Travel Agency is not directly responsible for delays, cancellations, or damages resulting from factors such as weather, strikes, terrorism, war, technical issues, and unforeseen circumstances. In case of such issues, consumers are advised to seek compensation directly from the primary service providers. If the service provider fails to compensate, the Travel Agency may be liable only for the amounts not recoverable from the primary parties.

  12. Consumers agree and undertake that photos and videos taken before, during, or after the tour may be used on the Travel Agency’s website and social media accounts.

  13. For any matters not specified in this contract, the relevant regulations, such as the Turkish Civil Aviation Code, IATA, UFTAA, and international treaties to which Turkey is a party, as well as the TÜRSAB Istanbul Guidelines, will apply. This contract has been prepared in duplicate, reviewed, and accepted by the parties. Both parties confirm their acceptance by signing the document, and the signatory is responsible for fulfilling all obligations under this contract.

SERVICE COMPLAINTS: In the case of defective services, the TÜRSAB Arbitration Board is authorized to resolve disputes.

SERVICE GUARANTEE: Provided there is sufficient participation and no force majeure, the agency commits to delivering the services as specified in its brochures and announcements, for the price stated. In case the agency fails to fulfill its commitments, any refund will be determined based on the TÜRSAB Istanbul Guidelines.


j) USAGE AGREEMENT

a) WEBSITE USAGE TERMS

Before accessing or using the site, please read this agreement carefully. By accessing or using the site, you agree to be bound by the terms and conditions stated below. If you do not wish to be bound by these terms and conditions, you may not access the site or use it, and if you have already started using it, you must immediately stop using the site.

The website "www.goldenroadstour.com" may modify this agreement at any time, and such changes will take effect immediately when the modified agreement is posted on the site. You agree to review the agreement periodically to be aware of any changes, and continuing to access or use the site will signify your acceptance of the modified agreement.

The content published on this website (such as software, products, logos, trademarks, information, reports, images, graphics, etc.) is protected by national and international laws and agreements.

Users agree that they will not reproduce, copy, distribute, or use for any other purposes, the products, information, databases, images, texts, icons, visual and auditory elements, video clips, files, website code, or other codes, designs, catalogs, and lists from the website, whether partially or completely. 5. Rights and Responsibilities

Tour Sales Agreement

This refers to the agreement between GOLDEN ROADS TOUR and the tour participant ("CUSTOMER"). Further details on this will be provided in the full Tour Sales Agreement section.


k) PACKAGE TOUR (DOMESTIC) AGREEMENT

This agreement is prepared for domestic tours. It forms an integral part of the tour program.


01 – PARTIES AND SUBJECT

This sales agreement is made between Golden Roads Tour, the travel agency organizing the trip, and the Customer, who wishes to participate in the Domestic Tour. The agreement is valid with the attached tour program and is an inseparable part of it. In this agreement, Golden Roads Tour will be referred to as the "Agency," and the tour participant will be referred to as the "Customer."


02 – FINAL REGISTRATION AND CANCELLATION TERMS

Final registration for the tour is confirmed upon payment of at least 40% of the tour fee. If the remaining balance of the tour fee is not paid 30 days before the tour departure date, the customer will be considered to have canceled the tour, and the cancellation terms will apply.

  • Cancellations made up to 45 days before the departure date: Full refund (excluding reserved tickets in the customer’s name).
  • Cancellations made between 44 and 30 days before the departure date: 10% of the tour fee will be deducted.
  • Cancellations made between 29 and 15 days before the departure date: 50% of the tour fee will be deducted.
  • Cancellations made between 14 and 7 days before the departure date: 80% of the tour fee will be deducted.
  • Cancellations made 7 days or less before the departure date: 100% of the tour fee will be deducted.

There will be no refund in cases where the customer fails to show up for the tour, misses the tour bus or flight, or voluntarily or involuntarily cannot continue the tour. In addition to cancellation fees, any mandatory expenses made by Golden Roads Tour (such as insurance, flight tickets, hotel bookings, etc.) will also be collected from the customer.


03 – GROUP TOURS

For group tours to take place, there must be a sufficient number of participants. If the required number of participants is not met, Golden Roads Tour can cancel the tour without the customer’s permission, or the tour may be conducted through another agency. If the tour is canceled due to insufficient participation, the fee will be refunded in full, or if the number of participants is insufficient, the remaining participants may agree to cover the additional cost, and the tour will proceed.


04 – LUGGAGE

For all domestic and international tours by bus, each guest is allowed one suitcase with dimensions 50x70 cm and one carry-on bag with dimensions 20x50 cm. Luggage exceeding these dimensions may be accepted if the bus luggage space permits; otherwise, it will not be accepted. For tours by air, excess baggage fees are the responsibility of the passenger, and the excess baggage fees are determined by the airline's rules.

The agency is not responsible for luggage that is not handed to the agency staff during bus tours. Any compensation for lost luggage is covered by the insurance policy. Guests should not carry money, valuable documents, or precious items in their luggage. Golden Roads Tour is not responsible for lost luggage during air travel. In such cases, the rules of the airline will apply.


05 – FORCE MAJEURE AND RESPONSIBILITIES

Golden Roads Tour cannot be held responsible for any political events, strikes, natural disasters, war, weather conditions, technical incidents, or international relations that cause changes or delays before or during the tour. Golden Roads Tour reserves the right to make changes to the tour program, fees, transportation, and accommodation services. The agency acts as an intermediary between the customer and the transport and accommodation providers.

The agency is not liable for accidents, health problems, lost or damaged luggage, or any issues arising due to transport or accommodation, unless it is directly related to the agency’s fault. Solo travelers must pay an additional fee for a single room. However, if two solo travelers agree, they can share a room.


06 – INCLUDED SERVICES AND OTHER EXCLUSIONS

The tour program clearly specifies all the services included in the price. Any services not listed in the program are subject to additional charges. Airlines may adjust their fuel charges due to increased oil prices, and any such changes will be reflected in the tour price, even if the flight tickets have already been purchased. Golden Roads Tour cannot be held responsible for such price increases. The price includes VAT. Hotel check-in is at 3:00 PM, and check-out is by 11:00 AM. Meals during travel by bus and any additional expenses are the responsibility of the guest.


07 – TOUR START AND DEPARTURE TIMES

The departure locations and times for bus tours are specified in the program. For flights, the meeting point is the airline’s counter. Participants must confirm the departure location and time with the agency within the last week. If the customer fails to meet the agency, they are responsible for the consequences.

Flight, ferry, train, and bus schedules are based on the dates of the program. Any changes made by the carriers and the resulting changes in the tour program are not the responsibility of the agency. The customer should verify flight and other transportation schedules with the agency before traveling.


08 – INSURANCE

Insurance is provided for all accommodation-based tours. For health-related issues during the tour, the rules of the insurance company will apply. The agency is not responsible for any undisclosed chronic conditions or allergies. In case of illness, participants are required to provide documents such as diagnosis, prescriptions, or medical reports to the insurance company for reimbursement.


09 – COMPETENT COURT

The agency assumes the information provided during registration is accurate. The agency is not responsible for any issues arising from false or incomplete declarations. In case of any dispute regarding this agreement, Istanbul courts and enforcement offices have jurisdiction.

The customer has read and signed the terms of this agreement.

INTERNATIONAL PACKAGE TOUR (TRAVEL) AGREEMENT

This Agreement is prepared specifically for overseas tours. It is an integral part of the tour program to be undertaken.


01 - PARTIES AND SUBJECT

This sales agreement has been made between the agency, Golden Roads Tour, which organizes the travel, and the customer who wishes to participate in the tour. It is an inseparable part of the attached tour program. In this agreement, Golden Roads Tour will be referred to as the "Agency," and the travel participant will be referred to as the "Customer."


02 - DEFINITIVE REGISTRATION

A definitive registration for the tour occurs when at least 40% of the tour fee is paid. If the remaining balance of the tour fee is not paid 45 days before the tour departure date, the customer will be considered to have canceled their participation, and the cancellation terms in Article 3 will apply.


03 - CANCELLATION TERMS

For cancellations made by the customer 46 days or more before the tour departure date, the tour price (excluding international flight ticket) will be refunded. If the cancellation is made between 45 and 30 days before the tour departure date, 50% of the travel cost (excluding ticket) will be deducted. If canceled between 29 and 20 days before the tour, 80% of the cost (excluding ticket) will be deducted. Cancellations made closer to the departure date will result in a 100% cancellation fee.

In cases of cancellation due to health reasons, travel insurance rules will apply. Cancellations outside the aforementioned time periods or situations such as not showing up for the tour, missing the tour bus or flight, or voluntarily or involuntarily failing to continue the tour will not result in any refunds. Additionally, the Agency will charge the customer for any mandatory expenses made on their behalf (e.g., insurance).


04 - GROUP TOURS

Group tours require a sufficient number of participants. In case of insufficient participation, Golden Roads Tour may cancel the tour without the customer's consent or arrange the tour through another agency. If the tour cannot proceed due to insufficient participants, the fee will be refunded without deductions, or if the per-person cost increases due to fewer participants, the Agency may request the additional amount from the remaining participants, with their consent.


05 - BAGGAGE

For all domestic and international bus tours, each guest is allowed one suitcase with dimensions of 50x70 cm and one carry-on bag with dimensions of 20x50 cm. If the baggage exceeds these sizes and the bus baggage compartment is available, it may be accepted; otherwise, it will not be.

For flights, excess baggage charges are the responsibility of the passenger, and the charges will be determined according to the airline’s rules.

The Agency is not responsible for luggage that is not handed over to the Agency’s representative during bus tours. Insurance coverage for lost luggage is included.

Valuable items such as money, documents, and jewelry should not be placed in luggage. The Agency is not responsible for lost luggage during air travel, and the airline's rules will apply in such cases.

For all losses, insurance compensation is only possible if legal documentation forms are completed and signed in the country where the loss occurred.


06 - FORCE MAJEURE AND RESPONSIBILITIES

Golden Roads Tour is not responsible for any changes or delays caused by political events, strikes, disasters, wars, weather conditions, technical issues, or diplomatic relations affecting the tour before or during travel.

Golden Roads Tour reserves the right to make changes to the program, prices, transport vehicles, and accommodation facilities. The Agency acts as an intermediary between carriers, accommodation providers, and customers.

In the event of accidents, health issues, lost or damaged luggage, or any issues during transport or accommodation due to causes unrelated to the Agency, the Agency is not responsible.

Passengers traveling alone on international tours must pay an additional single room supplement. However, if another single passenger wishes to share a room with them, they can do so based on mutual consent. The Agency is not responsible for any disputes that may arise between passengers sharing a room.

The Agency is not responsible for changes in flight schedules and fares made by the airlines.

In case of force majeure, any additional payments or issues arising from extraordinary circumstances (such as ferry or ship cancellations due to weather, fire, road closures, etc.) are not the responsibility of the Agency. Special cases and conditions are not covered by insurance.


07 - INCLUDED AND EXCLUDED SERVICES

All services included in the tour program are specified separately. Any additional tours or services not mentioned are subject to extra charges.

Additional tours require sufficient participation.

For overseas tours, taxes, fees, and similar public charges required by the countries visited, as well as any price increases for flights or hotels starting before the tour date, are the responsibility of the customer.

Group flight tickets are purchased before the tour date.

Airlines may increase fuel charges due to rising fuel prices and will pass these costs on to the Agency, even if the tickets have already been purchased. Golden Roads Tour is not responsible for these price changes, and they will be added to the tour price.

Prices include VAT.


08 - PASSPORT AND VISA

For international travel, the passport must be valid for at least one year after the tour’s end date.

Customers must submit the required documents, including valid passports and photos, to the Agency at least 45 business days before the tour date.

The Agency assists with visa applications, but visa fees are the responsibility of the participants.

If the consulate does not grant a visa, the Agency is not responsible for the non-issuance of the visa. The consulate does not refund the visa fees in such cases.

Any non-refundable expenses (such as non-refundable flight tickets, reservations, visa fees) made by the Agency are also charged to the customer.

If there is any price increase in visa fees before the tour departure, the customer will be charged the difference.


09 - TOUR START AND DEPARTURE TIMES

The departure points for domestic and international bus tours are specified in the program. For air tours, the meeting point is at the airline's counter at either the domestic or international terminal.

All participants must confirm the departure time and location with the Agency during the last week before the tour.

If there is a failure to meet or any delay, the customer is responsible for any issues that arise.

Flight, ferry, train, or bus schedules indicated in the program are based on the published times at the time of printing. The Agency is not responsible for any changes made by carriers after the program is printed.


10 - OTHER ISSUES

Hotel check-in time is 3:00 PM local time, and check-out time is 11:00 AM local time.

Meal charges on the road during bus tours are paid by the participants.

Children aged 2-10 may receive a discount for being in the same room with their parents, depending on the type of service.

The Agency is not responsible for any damage, loss, or accidents involving customers during the tour.

Food and beverage expenses and extra activities not included in the program are the customer’s responsibility.

Extra tours outside of the program are not included in the tour fee.


11 - INSURANCE

The insurance rules apply in case of health issues during the tour. Chronic conditions are not covered by insurance, and the Agency is not responsible for failure to disclose chronic conditions or allergies.

The Agency considers the information provided during registration as accurate. The Agency is not responsible for any issues arising from false or incomplete declarations.

In case of illness, the participant must submit necessary medical documents to the insurance company. The participant is responsible for paying for treatment and submitting the receipts to the insurance company for reimbursement.

The Agency can assist with this process but cannot guarantee reimbursement. The insurance company is responsible for the decision.


12 - JURISDICTION

This agreement consists of 13 main articles. In case of a dispute, Istanbul Courts and Enforcement Offices shall have jurisdiction.
